Elrod Financial Group ("Elrod Financial," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit https://elrodfinancial.com (the "Site"), request a consultation, book an appointment, create an account, subscribe to our updates, apply to join our team, or communicate with us by phone, text message, or email.

By using the Site or giving us your information, you agree to this Policy. If you do not agree, please do not use the Site.

We are an independent insurance agency based in San Antonio, Texas, licensed in multiple states across the US. We offer life insurance (term, whole life, and indexed universal life), mortgage protection, final expense, disability income, critical illness, annuities, Medicare and supplemental plans, dental and vision coverage, and small business group benefits through partner carriers. When you apply for or buy a product through us, the insurance company that issues it will also give you its own privacy notice, which governs how that company handles your information.

2. Information We Collect

Information you give us. When you fill out a form, request a quote, book an appointment, or talk with us, we may collect:

• Contact details: name, phone number, email address, mailing address

• Account and booking details: login credentials and appointment history if you create an account or book through the Site

• Basic profile details: date of birth, age, state of residence, marital status, number of dependents

• Financial and planning details you choose to share: income range, mortgage balance, existing coverage, college and retirement goals, and similar information needed to recommend products

• Health details, only when needed to estimate eligibility or complete an application for life, disability, critical illness, final expense, Medicare, or supplemental coverage

• Job application details: name, contact information, résumé, and work history if you apply to become an agent

• Newsletter signups: your email address

Information collected automatically. When you visit the Site, we and our service providers may collect your IP address, browser and device type, pages viewed, referring site, the date and time of your visit, and general location (city or state), using cookies and similar tools (see Section 6).

Information from calls and texts. If you speak with us or with our automated scheduling assistant, we may keep call logs, call recordings, transcripts, and text message history.

Information from others. We may receive information from insurance carriers, marketing organizations, lead providers you submitted information to, or people who refer you to us.

3. How We Use Your Information

We use personal information to:

• Respond to your inquiries and schedule, confirm, and remind you of appointments

• Review your needs and present insurance and financial products that may fit them

• Help you apply for coverage and service your policies after purchase

• Send insurance news and updates you subscribed to, and, with your consent, other marketing about our services

• Review job applications and communicate with applicants

• Operate, secure, and improve the Site, including preventing spam and fraud

• Train and quality-check our staff and automated systems, including reviewing call recordings

• Meet legal, licensing, regulatory, and record keeping obligations

We do not sell your personal information.

4. Phone Calls, Text Messages, and Automated Communications

Consent. When you submit your phone number on the Site and check the consent box, you agree that Elrod Financial may contact you at that number by phone call and text message, including calls and texts placed with automated technology, artificial or prerecorded voice, or an AI voice assistant, about your inquiry, appointments, and our services. Consent is not a condition of any purchase. Message and data rates may apply. Message frequency varies.

AI voice assistant. We may use an automated, AI-powered assistant to call you back, answer basic questions, and schedule appointments with a licensed agent. The assistant does not give insurance or financial advice. You can ask to speak with a person or end the call at any time.

Call recording. Calls with us may be recorded and transcribed for quality, training, and recordkeeping. We will tell you at the start of a call when it is being recorded.

Opting out. Reply STOP to any text to stop texts, or HELP for help. You can also ask us on any call to stop calling, or email gustin@elrodfinancial.com. We will honor your request within a reasonable time, as required by law, and keep your number on our internal do-not-call list.

Mobile information. We do not share or sell mobile phone numbers or text messaging consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party, except service providers that help us deliver messages.

5. How We Share Information

We share personal information only as described here:

• Insurance carriers and financial product providers, to get quotes, submit applications, and service your policies, at your request

• Marketing organizations and agencies we contract with (such as IMOs or FMOs), for licensing, contracting, and compliance support

• Service providers that work on our behalf, including GoDaddy (website hosting, accounts, bookings, forms, and email marketing), Google reCAPTCHA (spam protection on our forms), and our CRM, phone, texting, AI voice, and email providers; they may use your information only to provide services to us

• Instabrain, if you use the "Instant" or "Guaranteed Approval" quote links on our Site; information you enter there is collected under Instabrain's own privacy policy and shared with us so we can follow up

• Legal and regulatory reasons, when required by law, subpoena, or a regulator, or to protect our rights, your safety, or the safety of others

• Business transfers, if our agency is merged, sold, or transferred, subject to this Policy

• With your consent, for any other purpose you approve

Job application information is used only for hiring and is not shared with carriers or used for marketing.

Insurance and financial privacy laws. Nonpublic personal information you give us in connection with an insurance or financial product is also protected by the federal Gramm-Leach-Bliley Act and applicable state insurance privacy laws. We do not share that information with nonaffiliated third parties except as those laws allow, such as to process a transaction you request.

6. Cookies and Tracking Technologies

The Site is hosted on GoDaddy Website Builder, which uses cookies and similar tools to make the Site work, keep you signed in, remember your cookie choice, and measure traffic. When you accept cookies in our banner, your visit data is combined with other visitors' data to help us understand how the Site is used. Our forms use Google reCAPTCHA, which collects device and usage information to detect bots and is subject to Google's Privacy Policy and Terms of Service. 

You can block or delete cookies in your browser settings; parts of the Site may not work properly if you do. You can opt out of Google Analytics at https://tools.google.com/dlpage/gaoptout. Our Site does not currently respond to browser "Do Not Track" signals.

7. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, such as access controls and encrypted connections. No website or transmission is completely secure, so we cannot guarantee absolute security. Please do not send Social Security numbers, account numbers, or health details by regular email or text.

8. Data Retention

We keep personal information as long as needed for the purposes in this Policy, including the record-keeping periods required by insurance and financial regulations, and then delete or de-identify it.

9. Children's Privacy

The Site is not directed to children under 13, and we do not knowingly collect their personal information online. If you believe a child has given us information, contact us and we will delete it.

10. Your Choices and Rights

You can:

• Ask us what personal information we hold about you and request a copy

• Ask us to correct or update your information

• Ask us to delete your information, subject to legal and regulatory retention requirements

• Opt out of marketing emails by clicking "unsubscribe," and out of calls and texts as described in Section 4

Depending on your state, you may have additional rights under state privacy laws. To make a request, contact us using the details below. We will verify your identity before acting and will not discriminate against you for using your rights.

11. Third-Party Links

The Site may link to carrier websites or other third-party sites. We are not responsible for their privacy practices; please review their policies.

12. Changes to This Policy

We may update this Policy from time to time. We will post the updated version on this page with a new Effective Date. Material changes will be highlighted on the Site.
